User agreement
As part of the TANGO project, we are conducting a pilot at CESGARDEN SL (CESGA), a world leader in luxurious smart hospitality. This pilot aims to evaluate the TANGO framework for guests to check-in to the hotel through their smartphone and go directly to their room without going through the time-consuming process at the reception. During this pilot, users will be using the system to evaluate the correctness of the operation such as impersonation, exchange of smartphone devices while also provide feedback regarding the user satisfaction and their overall experience with the framework.
The Pilot will take place from 05/05/2025 until 30/05/2025.

Before commencing your participation, we kindly ask you to read the following information and accept it by checking the relevant box below.
Plase note that we value your free and voluntary participation in this pilot in order to ensure that you do not feel compelled to participate. It is important for us to understand your experience during this pilot. Thus, we may ask you to complete a brief questionnaire before, during, or/and after the pilot
Data Controller
The Data Controller will be ANYSOLUTION SL (ANYS), as part of the TANGO Project, as well as the TANGO Project Consortium.

Purpose of Data Collection
We are collecting your personal data within the hotel to:
- Evauate the TANGO framework for check-in to the hotel through your smartphone while going directly to your room without going through the time-consuming process at the reception,
- Evaluate the correctness of the operation such as impersonation, exchange of smartphone devices,
- Provide us feedback regarding your satisfaction and your overall experience with the TANGO framework.
With your assistance and participation, according to your designated contribution, we will be able to test and implement the TANGO framework through its projected function during the check-in process.
Data Collected
We would like to inform you that we will be processing the following personal data:
- Name
- Surname
- Passport Number, date and place of issue, issuing authority
- Place of birth
- Date of birth
- Gender
- Nationality
- Full Address (Zip Code, City, Country)
- Phone Number,
- Email,
- Room Preferences, Dietary Preferences, Preferred Departure Time, Preferred Breakfast Time (Optional)
The envisaged processing operations on the aforementioned personal data are the following:
- Collection directly from you
- Storage on OVH at ANYS premises until 30/07/2025
- Use in order to test and implement the TANGO framework through its projected function during the check-in process
- Use in order to evaluate the correctness of the operation such as impersonation, exchange of smartphone devices
- Use in order to collect feedback regarding your satisfaction and your overall experience with the TANGO framework arrangements
How Your Data Will Be Used?
Your data will be processed according to the following three-phase approach:
- Onboarding process: Before connecting to TANGO, you must get your TANGO identity. To do that, the process of onboarding you into TANGO starts by scanning your passport in a dedicated app, downloaded by you on your respective mobile phone. After scanning the passport with the app, your required personal data will be sent to the SSI wallet and identity components located in the server of the pilot. You will then get your TANGO identity in order to use it to login to the system. The TANGO UI provides access to a QR code to allow your authentication and authorization via the Mobile wallet into the system.
- Tourist Check-in process: You will log in with your TANGO credentials by scanning a QR code in the TANGO dashboard and by using the identity components for authorization and authentication. The PAT Tool complements the personal data from the user to check-in via a form and copy this information for the hotel receptionist in order to update the hotel system.
- Final process: Sensor data is used to generate statistical reports for managers and the hotel.
Your personal data will be removed from the TANGO pilot after the completion of the evaluation, expected in May 2025.
Legal Basis for Processing
Your personal data will be processed according to the relevant legal provisions. The legal basis for the processing of your personal data during the pilot is your consent relating to Article 6 paragraph 1 sentence 1a of the General Data Protection Regulation.
Please note that you have the right to withdraw your consent at any time, without any negative consequences. If you choose to withdraw consent, this will not affect the lawfulness of any data processing that has already taken place before your withdrawal. You can contact legalint@diadikasia.gr to revoke consent.
Data controllers - Access to Personal Data
According to GDPR, ‘controller’ means the natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law. ANYSOLUTION SL (ANYS) [juan@anysolution.eu, 0034660604050] is the data controller, therefore the one that coordinates and processes the data collected.
Access to your data will be strictly limited to:
- Authorized personnel who participate in the pilot Smart Hospitality of the TANGO project, including data controller’s (ANYS), technical team.
- Third-party service providers (such as cloud service poviders), who are GDPR-compliant.
Retention Period
Your personal data will be retained for as long as the Pilot is taking place; after the pilot’s completion and will then be either anonymized or securely deleted.
Your Rights
As a result of the data processing operations, according to the General Data Protection Regulation (“GDPR”), the data subject – participant to the pilot can exercise at any time the following rights, when applies:
- Right to be informed regarding anything that is related to the processing of personal data,
- Right of access to the personal data and any other information related to the data processing activities,
- Right to rectification of inaccurate personal data or completion of incomplete personal data,
- Right to erasure (right to be forgotten), according to which the dta subject could achieve the deletion of his/her personal data under certain conditions,
- Right to restriction of processing of the personal data under certain conditions,
- Right to data portability, according to which the data subject can receive the personal data concerning him/her, which had been provided to a controller, in a structured, commonly used and machine-readable format and transmit them to another controller without hindrance from the controller to which the personal data had been previously provided,
- Right to object at any time to processing of personal data concerning him/her,
- Right to object to the automated individual decision-making, including profiling.
- Right of filling a complaint to the competent national supervisory authority.
- Withdrawal from the provided consentat any time freely.
